Import and manage your Reagent & Supplies V5.3 and above

This Knowledge Base is mainly for the first days of LabCollector use when you have to import your previous database in LabCollector. It can be used for all your data with storage, not only reagent & supplies.

Accessible to ALL users except User and Visitor level permission


1st step: Import your data

Under Admin > Data > Import, select the Reagent & Supplies module.

 Prepare your LabCollector database. Before importing data, you have to configure the module you are importing data by creating the fields that you need and adding possible values where required. See our KB-Custom field for more information on creating custom fields.
Ensure your PHP has increased limits: max_input_vars = 10000 or more (See KB-import large files).

1. Organize your file to have all the fields you want to import. The first line corresponds to the field names. One field by column.

Imported data MUST CONTAIN fields related to name. Save this file in txt (Tab) or CSV (comma or semi-colon as separator).
For more information on how to import your data, please refer to the KB-import your data.

2. Upload your file or copy/paste the lines you want to import, ALWAYS with the first line corresponding to the field names.

 

3. Choose the field separator

 

4. Check your data before choosing to confirm. You can discard the import if there is mistake.

To import your Risk and Safety information, please follow these instructions:

TAGS (already in both CSV files offer by LabCollector):

  • Legends:

Flammability,Health,Instability/Reactivity,Special Notice,GHS Pictograms,GHS Hazard Statements,GHS Precautionary Statements,Country Specific Hazard Statements,Sigma MSDS Link

  • Database Names:

flammability,health,instability_reactivity,special_notice,ghs_pictograms,ghs_hazard_statements,ghs_precautionary_statements,country_specific_hazard_statements,sigma_msds_link
Note: The Individual Protection Pictograms cannot be imported. They must be selected in each record individually.

VALUES:
There are 3 accepted values for each risk or icon:
– RISK CODE (example “0” or “SGH03”)
– RISK DESCRIPTION (example “Will Not Burn” or “Oxidizing Liquids”)
– RISK CODE:RISK DESCRIPTION (example “0:Will Not Burn” or “SGH03:Oxidizing Liquids”)

Each values in the same fields, need to be separated by | (CTRL+ALT+6) as:


We advise you to use only RISK CODE, avoiding text errors and separators that might break the import. To have the complete correspondence of Risk codes please refer to the KB-Risk codes.

To import the MSDS Link, the format is: PRODUCT NUMBER|BRAND, (here are some examples: “32305|SIGMA“, “50412|SIGMA-ALDRICH“, “78913|MERCK-MILLIPORE“, “60475|THERMO-FISCHER-SCIENTIFIC“).

Note
SIGMA and SIGMA-ALDRICH offer products under their own brand name, as well as under other brand names. Some of the popular brand names that are available through SIGMA include Fluka, Supelco, and Riedel-de Haën. Similarly, MERCK-MILLIPORE offers products under the Millipore, Milli-Q, and Biochrom brands, among others. THERMO-FISCHER-SCIENTIFIC also offers a variety of brands, such as Fisher Scientific, Thermo Scientific, and Pierce.
Other brands are also available, such as: SIGALD, SAFC-SUPELCO-MILLIPORE, HONEYWELL, ROCHE and THERMO-FISCHER-ALFA.

2nd step: Manage Safety Risks

Each reagent record is linked to a tab Display Risk and Safety data .
When you add a new record or edit an existing one, you have access to Risk & Safety options.

There are 3 categories:

  1. NFPA classification. Choose the right number in each select list.
  2. GHS classification. Select the right pictograms then hazard and precautionary statements. If you want to select more than one phrase, stay with CTRL key active.
  3. Add Sigma MSDS link by entering the product number and select the brand in the list, then use the Test Link button. If the MSDS exists the link is automatically saved.

You can add custom fields to the Risk & Safety part. For more information on custom fields, please read the KB-create custom fields (5.2v).


3rd step: Manage your lots (For more information: KB-manage your reagent lots)

The last step is to define your lot. You have two possibilities.

  • For each reagent, open the tab Display lots  and Add new lot (1). Fill the form and select storage if previously defined. When you create your lot before adding a storage location, you just have to edit the storage location (2).

 

  • If you already have a database to manage your lots, use the Import batch lots option under ADMIN > Storage. Format your excel file as in (1). Date format is yyyy-mm-dd. If you already have storage barcodes or IDs select the option, and add this column in first place in your file (2). Select your file and select the right option (3).
