How to connect and send samples from ‘sample receiving’ to do tests in ‘LSM’?

SUMMARY:

For tests labs that receive 100’s of samples in a day, they can use our sample receiving add-on to quickly open a package and plate the samples. For labs that require quality checks (QC) for the sample before sending them to the tests, the sample receiving add-on is the best option.

Moreover, Our Lab Service Management (LSM) add-on is used for performing tests and provides the best track system for tests or service core labs.

LabCollector offers the possibility to “connect” the sample receiving and LSM add-ons in order to facilitate sample tracking from its arrival in packages to plating the samples for tests in LSM.

Follow the steps below to connect and track sample from the sample receiving to LSM add-on:-

1. Sample receiving: Link sample receiving to LSM add-on

2. LSM: Create a Job with specific sample names 

3. Sample receiving: Receiving of Package & plating samples

4. LSM: Checking the sample status

1. Sample receiving: Link sample receiving to LSM add-on

  • To configure the settings for LSM you need to create a ‘Project’ (TOOLS -> MANAGE PROJECT CODES)
  • After this please check our Knowledge Base to see how to link LSM to sample receiving add-on (Section D).

2. LSM: Create a Job with specific sample names 

  • Let’s take an example of COVID tests. Imagine that you are receiving a lot of samples every day for doing tests.
  • In such case, lets say you already create jobs in LSM before you receive the sample so that as soon as you receive them, you can unpack them using sample receiving add-on and plate them directly in LSM for performing tests.
  • Hence, to create a Job go to LSM -> JOB -> ADD JOB & add all the required details to perform the job.
  • Now add a new job with the sample name as required (*For more information read the Knowledge Base Guide to LSM)
  • The job you create will look like below where 2 things are important if you want to connect the sample in job to sample receiving add-on.
  • 1. The first point to consider is that you should mark samples as not yet received. This is because you will upload the samples when you receive them, directly from the sample receiving add-on.
  • 2. The second point is you need to name your samples accordingly, as these are the sample names you will be receiving in the package in the sample receiving add-on.
    *NOTE: Keep in mind that for the sample naming to be active, you need to go to LSM -> ADMIN -> SETUP -> JOBS & SAMPLES NAMING.
  • You can select from 2 options: Semi-automatic or Automatic
  • Semi-automatic
    • Prefilled: If you want to generate sample number/name is automatically.
    • Not prefilled: If you want to generate sample number/name by yourself, according to your needs.
      Match job number in sample name: You can even select if you want to match job number in sample name. You need to manually add the job name while creation of the job. This job name, must be a part of the sample name. If the job and sample name does not match you will have an error when you try to save the job. See an example image below.
  • Automatic
    • Note: In this case the sample name column, when you add job will not appear, as the naming will be automatic. You just will have to choose the sample type.
    • Job number: Where job number will be automatically a date + autoincrement.
    • Sample name:
      • Job number + autoincrement
      • Data (YearMonthDay) + autoincrement
  • Important: Be careful on what sample barcode settings you use in the LSM -> ADMIN -> SETUP -> JOBS & SAMPLES NAMING.
    • Default (S+ID): You need to choose ID of the sample and S as a prefix (without space)
    • Sample Name: You need to choose name of the sample
  • Once you have created this job, you can save it and it will appear in the job list like below.
  • The “sample shipment” will show the status “submitted” as the samples are not yet received.
  • Now go to the sample receiving add-on and follow the below steps.

3. Sample receiving: Receiving of Package & plating samples

  • Check our Knowledge Base on how to create a package and process it. (section 2), to follow the steps in receiving & plating the samples.
  • All options in the below image explained in the KB link above.
    IMPORTANT
    Please be careful sample barcode settings you use in the LSM -> ADMIN -> SETUP -> JOBS & SAMPLES NAMING

4. LSM: Checking the sample status

  • When you go to LSM -> JOB -> JOB LIST like in section 2 above point 2.
  • You will see the sample shipment status as received.
  • You can also assign these samples to a batch and then perform the tests. *Check our KB on how to assign Batches.
  • If you finish the plating process and directly click on the upload to the LSM option, then the samples will be assigned in a batch automatically.
  • To view, these plate samples go to (LSM -> JOB -> BATCH LIST) & you will see your plate and samples in the batch list.
  • When you click on the batch you will see the sample and you can now execute the job.
