How to create & process a package in Sample receiving add-on?

SUMMARY:

For tests labs that receive 100’s of samples in a day, they can use our sample receiving add-on to quickly open a package and plate the samples. For labs that require quality checks (QC) for the sample before sending them to the tests, the sample receiving add-on is the best option.

Follow the steps below to register a package in the sample receiving add-on:-

1. Create or scan a new package

  • When you click on sample receiving add-on you will see the below options on the homepage of the add-on.
  • 1. Here you can create a new package
  • 2. here you can directly scan your package or plate.
  • To create a new package you need to enter below things:-
    – Select the Project Code from the drop-down list (to create codes go to (TOOLS -> MANAGE PROJECT CODES)  and
    – Package arrival date.
    – You can add the tracking number of your package if you have one.
    – You can enter comments here as you require.
    – Once you are done you can either save it or choose to print the barcode label as well for the package.
  • Once you finish click on save and your package will be visible below like this with the status as received.
  • You will see 3 options in front of your package:
    1. This option allows you to process your package further meaning you can remove the samples and plate them to be ready for the test.
     2. This option is grey out generally. It will only be active when you have closed the package after processing.
     3. This option allows you to create and see the barcode of your package.

2. Process the package

  • Now you can proceed to process the sample using icon.
  • When you click on the process icon you will see the below pop-up which asks you to create or choose from existing plates for the same project.
    In the below option you see no plates found as there are no plates for this project that were made previously.
  • Click on a new plate option and scan the barcode of your package.
    – Note: If you don’t want to scan you can manually insert the package barcode by clicking on the barcode option on the front of your package.
    – A new page will open where you can see the barcode name like below. Example barcode PCK3
  • Click “New Plate” and you will see the page like below, where you can either scan your package or ender the Barcode manually.
  • Once the package is unlocked, you will see the below page where you can enter your samples from the package.
  • 1. Here you will see the package, plate, and project name. Also the name of the module you have connected the project to. If the project is linked to LSM or not. Which mode of the package have; Creation or  Plating. (See section 4 below for more information)
  • 2. This is an option where you can add a customized barcode or just click the icon to add a barcode automatically.
    – here we have added the names of the samples already existed in LSM job. (*Please check our KB on how to link and process samples in the sample receiving and LSM add-on)
  • 3. Here you can add where you want to put your samples in the storage location and description. This will allow you to create samples in the connected module with their storage location. Once you are done you can click on save.
    *You cannot save the plate without adding the storage location.
  • 4. You have several options for processing the package and the related plate.
    4.1 When you click on “Finish Plate” it will finish your plate filling and this plate will not be seen under “All plates” options.
    4.2 You can reset the current progression of your plate by choosing the option “Reset plate”. You can either choose to reset unsaved samples or reset all the samples. This way either you will only see saved samples or the plate will be empty again.
    4.3 Finishing a package will remove the package from the home page of the sample-receiving and put it in the finished package option.
         – 4.4 You can load/import an already created samples in a CSV file. You can choose depending upon the delimiter you have used in CSV (comma, semicolon or tabulation).
    4.5 Here you can connect to the rack scanner to scan your plate. (Rack scanners can be defined in ADMIN -> SETUP -> RACK SCANNERS)
         – 4.6 You cannot print the barcode plate until you save the plate.

3. Package status

  • When you see the package under the “All package” options you will see 3 statuses :

  • 1. Received:  Here you will see packages that were just created.
  • 2. Processing: Here you will see all the packages that are being processed. meaning the samples are still being plated.
  • 3. Finished: After plating samples when you click on the finish package option (point 4.3 above in section 2), this package will be seen here.
  • In front of each package, you will see the same three options as in section 1:
    This option allows you to process your package further meaning you can remove the samples and plate them to be ready for the test. This option will be greyed out in “Received” & “Processing” status.
    This option is grey out generally. It will only be active when you have closed the package. You will see this is “Processing” status too to close the package.
    This option allows you to create and see the barcode of your package. This option will be visible in all 3 statuses “Received”, “Processing & “Finished”.

4. Difference between projects connected/not-connected to LSM add-on

IMPORTANT:

  • If the project is connected to LSM then you will see the icon .
  • If the project is not connected to LSM you will not see this icon.  For example like below.
  • Project connected to LSM: The difference is that when a project is connected to LSM you can only put the barcode name as the name of the samples you added in already created jobs in LSM. Hence, if you try to put any other barcode name it will give you an error “sample not found” meaning the sample barcode does not exist in LSM.
    – “No test” option appears because you have not linked this package to a particular test. When you go to SETTINGS -> SETTINGS in the sample receiving add-on, and you go to the project you are on, for example in the above image project PR_01 you can see there is no test configured.
    – To connect the specific tests you go to LSM -> ADMIN -> PREFERENCES -> TESTS
    & then put the tests you want for this project. For example like below.

    Then when you create a package for this project and start processing the package like above you will see it like the below example.

     

  • Project not connected to LSM: When the project package is not connected to LSM then you will be able to create any random or customized barcode name and plate the sample.
